Email templates

General information

Email templates are ready-made message formats that can be personalized and used for effective interaction with leads, companies, and contacts. They help save time while ensuring quality and professional communication. Email templates support variables and embedded document templates, allowing for the quick and efficient creation of personalized emails.
 

Creating, editing, and deleting templates

To create, edit, or delete email templates, go to the CRM — Email Templates.

 

Key fields

To create a template, fill in the following fields:
  • Name—the name of the template; used for searching among the available templates.
  • Subject—will be used as the subject when creating an email.
  • Email template—the actual message text.

While composing an email, the subject and body of the email, which will be substituted from the template, can be edited.
 

Variables for email templates

When writing the email body, you can use main variables and variables from additional forms.

Main variables are a list of fields specific to a particular entity (lead, contact, or company).

Additional variables are fields from additional forms.

After selecting a specific template while composing an email, the variables will be put into corresponding fields.

If a certain main or additional variable is missing from the lead, contact, or company, it will be replaced with an empty string.
 

Documents and document templates

ach email template can have one or several documents attached. You can:
  • Select one of the existing CRM documents.
  • Upload a document from your computer.
  • Add a document template (variables from the document template will be automatically replaced with corresponding lead, contact, or company fields).

Email templates support documents in DOCX and PDF formats.
