How to create an agreement?

A deal in IPTel CRM is a specific interaction with a customer related to commercial offers, sales, or services. In the system, it combines all the data related to one transaction:

  • is linked to a lead, contact or company;
  • contains a list of goods or services;
  • stores information about discounts and other commercial terms and conditions.

Step 1: Select an object

  1. In the main menu, find the "Deals" section.
  2. Click the "+ Create a deal" button.

Step 2: Fill in the basic information

In the agreement form, specify:

  • Name of the transaction.
  • Deal amount (you can add products and automatically calculate the total cost).
  • Link to a contact, company, or lead.

Step 3: Add products

  1. Click "Add product".
  2. Choose items from the product catalog.
  3. Specify the quantity, discounts (fixed or variable), and other parameters.


 

Deal card

Main fields

  • Name: a short description or identifier of the transaction.
  • Transaction phase: current status in the process of selling or providing services.
  • Completion date: the desired deadline for completing the deal.
  • Responsible: manager assigned to the deal.

Additional features

  • Documents: list of related quotations, invoices, waybills.
  • Tasks: create tasks directly from the deal card.
  • Logs and history: full record of all changes in the deal field.
  • Add custom fields to the card.

Manage deals with kanban

Kanban is a convenient tool for working with deals that provides a visual representation of progress.

 

Move deals between phases

Drag and drop cards between columns in the kanban to update their status.

Customize the number of cards displayed

IPTel CRM allows users to customize the number of cards displayed in each kanban column.

Note: too many cards in a kanban can slow down the system. We recommend setting the optimal number for efficient operation.

Customization of kanban

Filters.

  • Set up custom filters for quick access to specific data (e.g., large customers, pending deals).
  • Apply filters automatically by default to personalize the interface.
 

Phase restrictions and checks

Managers can create conditions for transferring deals between phases:

  • Required fields: the deal cannot move to the next phase without filling in certain fields.
  • Additional conditions: for example, the presence of an approved invoice or an entered customer phone number.

Analytics and reports

The following analytics functions are available in IPTel CRM:

  • Displaying the total number of transactions by phase.
  • Statistics on the success of concluded deals.
  • Analysis of conversions by stages and manager efficiency.

How can I customize kanban for my needs?

Customize the number of cards view

To customize the number of cards displayed in your kanban:

  1. Go to the Settings in the header (top bar of the interface).
  2. Choose the desired number of cards for easy viewing. This option is configured individually for each user, which allows you to customize the interface to your work needs.

Customizing colors for funnel phases

To change the color of a specific phase in your sales funnel:

  1. Go to Settings → CRM → Funnels.

  2. Choose the desired funnel and click the "Edit" button.

  3. In the edit mode, select the specific phase which color you want to change.

  4. Choose the desired color and save your changes.

 

Where can I view the history of changes?

The history is available in the "Events" section of each deal card.
